The honest filter, before you spend anything. A workflow is worth automating when all four are true:
- It repeats. Weekly at minimum. A task that happens twice a year is cheaper to just do.
- It can be described precisely. If two people in your business would do it differently and neither is wrong, the process is not ready to be automated — that is a decisions problem, not an AI problem.
- It costs something you can name. Hours, missed calls, late quotes, rework. A number you would recognise on a page.
- The systems it touches can be reached. This is the one that actually sets the schedule. The AI is rarely the hard part; the software you already own, and whether it will let anything in, is.
If a workflow fails any of those, automating it tends to produce an expensive thing that nobody uses. I would rather tell you that in the first call than in month three.
